Without Walls is recruiting for a Finance Officer. This role is a key part of the Finance and Operations Team, supporting the Senior Finance Manager with processing and maintaining accurate financial records for Without Walls.
The postholder will benefit from a range of professional development opportunities and gain insights to the operations of a funded arts organisation working on a range of projects.
Under the direction of the Senior Finance Manager, the post holder will:
- Enter and maintain financial records on QuickBooks, including all purchases, grants, and sales.
- Log expense claims from staff and partners, checking the correct receipts are in place and claims are in line with relevant expense policies.
- Lead on regular payment runs, collating invoices, ensuring that payment requirements have been met, and that payments are made in line with due dates.
- Ensure that internal Finance Procedures are followed at all times, especially around payments and authorisation.
- Process monthly payroll reports, including payments to all staff, ensuring these are accurately entered into the financial records, whilst maintaining confidentiality.
- Regularly monitor the organisation’s bank and credit card accounts ensuring that any irregularities are immediately reported to the Senior Finance Manager.
- Update and maintain internal working budgets, working with the programme delivery team to ensure that these align with the organisation’s management accounts.
- Support monthly finance reconciliation and reporting by ensuring financial records are updated in a timely manner.
- Update records of debtors and creditors and follow-up on any outstanding payments as required.
- Support the organisation’s contracting processes, ensuring that supplier contracts are drafted promptly and accurately and to the standard required of contractual documents.
- Support the creation and administration of grant offer letters for artists and festivals.
- Support the Senior Finance Manager to deliver financial management services for external organisations including, but not limited to, making payments, recording transactions, completing reconciliations.
