Movema are looking for a part-time Administrator (21 hrs), who will be based in the Liverpool office at The Bluecoat.

Job Description

The Administrator provides a comprehensive range of office administration and services across the Movema team ensuring the efficient running of the organisation.

This post will work closely with Movema’s Executive team and Artistic Programme Coordinators to ensure the smooth running of the charity’s business.

The administrator will be a key part of our mission to connect people and communities, helping nurture a safer and more understanding and tolerant world.

Hours of working: 21 hours, 0.6 FTE
Contract: Permanent role
Annual Salary: £21,629- £23,389 pro rata
Annual Holiday: 22 days annually pro rata, plus Bank Holidays
Line Managed by: Artistic Programme Coordinator, Liverpool
Notice period: During probationary period, 1 month by employee, 2 weeks by employer. Then 2 months both ways
Probationary period: 6 months
Place of Work: Liverpool based Movema office at The Bluecoat
Flexibility: A flexible approach to working hours is negotiable. A willingness and ability to travel is essential.

Main Roles and Responsibilities

Area Main Responsibilities
Office management – Manage phone and email enquiries. Being the first point of contact for enquiries.
– To assist with annual calendar schedule.
– Ordering supplies.
– Update calendar and HR software to ensure key meetings, staff holidays are accurate.
Sales and Bookings         – To be responsible for the administration and management of bookings and sales from beginning to end.
– To review the booking systems Provide prompt and efficient customer service – – Promote the company’s services. Develop customer relationship (implementing CRM)
Executive Support – To support the executive function of the organisation as needed.
– Assist executive team in HR administration as needed.
Movema databases – To manage Movema’s databases and implement their use.
– Update artist database, periodic and regular artist communications working with Artistic Programme coordinator.
Administration processes – Maintaining the Monitoring & Evaluation system, creating quarterly and annual reports for the board, funders, annual report, and public dissemination.
– Take responsibility for Movema’s administration processes complying with the Data Protection Policy.
Governance   – You will support the administration of Movema’s Governance responsibilities, ensuring policies are filed/ archived correctly and policy tracking system is updated.
– Ensure online and paper files are GDPR compliant and aligned with Movema’s Data Protection Policy.
– Take minutes of the Board meetings and other meetings.
– Ensure that all records and documents relating to the Trustees are kept up to date.
– Assist the Executive team with governance tasks such as filing the Annual Return with Companies House and the Charity Commission.
– Support the Board in the recruitment and appointment of new Trustees.

Person Specification

Essential Criteria

  • Excellent administrative skills with at least 3 years’ experience within the field of administration.
  • Excellent time management and organisational skills.
  • Outstanding written and verbal communication skills.
  • Experience with dealing with people on the phone and via email.

  • Advanced proficiency in all aspects of Microsoft Office Suite, Google drive and Dropbox.
  • Must be willing to work on a Mac computer and develop skills quickly to fulfil role.

  • Someone who thrives in a team environment but can also work independently and prioritise their workload in a changing environment.
  • Proven experience of showing initiative.

Supervisor, Bloom Building

The Bloom Supervisor role is a key function of Team Bloom, they are the heart of the excellent customer experience we provide at Bloom and will help to create a thriving welcoming space for all visitors.

You will be required to oversee the delivery and preparation of our events and be the central point of contact for customers and event staff to ensure that the events run smoothly without any issues. Should any arise, you will be quick to fix them, using positive problem solving and initiative, ensuring minimal impact on the event.

The Bloom Supervisor will lead on a range of events from workshops to weddings and everything in between. We are looking for a reliable, proactive, and hands-on team member who is passionate about the work we do here at the Open Door Charity.

Music Librarian – BBC Philharmonic (part-time), closes 12 Nov

The BBC Philharmonic is reimagining the orchestral experience for a new generation – challenging perceptions, championing innovation and taking a rich variety of music to the widest range of audiences.

Along with around 35 free concerts a year at its MediaCityUK studio in Salford and a series of concerts at Manchester’s Bridgewater Hall, the orchestra broadcasts concerts on BBC Radio 3 from venues across the North of England, annually at the BBC Proms and from its international tours. Its performances are broadcast on BBC Radio 3 and available on BBC Sounds. The orchestra also records regularly for the Chandos label and has a catalogue of over 300 discs and digital downloads.

Championing new music, the orchestra has recently given world premieres of works by Tom Coult, David Matthews, Emily Howard, Outi Tarkiainen, Anna Thorvaldsdottir, Erland Cooper, Anna Appleby, Robert Laidlow, Gerald Barry and Grace-Evangeline Mason with the scope of the orchestra’s output extending far beyond standard repertoire.

In 2020 the BBC Philharmonic entered the UK Top 40 charts with Four Notes: Paul’s Tune and last year it released The Musical Story of the Gingerbread Man – a unique musical retelling of the classic children’s tale narrated by BBC Radio 5 Live’s Nihal Arthanayake. In May it performed at the 2023 Eurovision Song Contest, both at a free concert with previous Ukrainian winner Jamala and in the final itself with Italian artist Mahmood, for a rendition of John Lennon’s ‘Imagine’ during the Liverpool Songbook medley. Theatre Technician – Shakespeare North Playhouse, closes 27 Nov

This is an exciting opportunity for an experienced Theatre Technician to deliver the technical aspects of the Playhouse’s work.

The post-holder will take responsibility for operating equipment in technical areas within the theatre, performance, and event spaces to ensure the smooth running of Shakespeare North’s productions, workshops, and events. The post-holder will report to the Technical Stage Manager for Shakespeare North Trust and be a key operational member of the Technical and Facilities team.

They will work on all technical aspects of the production, events and learning programmes as required and will at times act as duty technician, building duty manager and will need to work with and supervise casual, freelance and contractor staff as scheduled by The Head of Technical and Facilities or the Technical Stage Manager.

Shakespeare North’s full-time employees work 40 hours normally over 5 days. Due to the nature of this role, however, and to meet the demands of the building, the post-holder will need to be flexible in their approach to work, particularly around the event programme and hours will operate on an averaged system. Evening and weekend work will be required.

The full-time salary will be £24,000 per annum.

Marketing & Development Officer – Lake District Summer Music, closes 1 Dec

This is a key role at the centre of LDSM, working directly with the Operations Director to plan and implement a wide range of creative campaigns to drive ticket sales, develop audiences, support young musicians and raise brand awareness.

You will take the lead in all our print and digital strategies while also supporting our work to connect with individual donors. If you are a self-starter; someone who is multiskilled from social media and campaign management through to being a welcoming and approachable point of contact for donors and volunteers alike, then we would love to hear from you.

This is a fantastic opportunity to make a real difference within a small supportive team as LDSM approaches its 40th anniversary in 2025.

If you have at least 2 years’ experience in a similar role, a strong understanding of current marketing trends, and are passionate about classical music and reaching our audiences, then this is the job for you.

SALARY: £27,000 pro rata (FTE 0.6)

HOURS: Parttime, typically 3 days per week.
Occasional evening, weekend and bank holiday working may be required in addition to attendance at the summer festival

LOCATION: Kendal, with occasional travel around Cumbria particularly during the summer festival
