Position

What is the role?

  • Title: Stakeholder Event Manager

Principal Role

The Stakeholder Event Manager will plan and deliver approximately 30 events annually for our donors and stakeholders, including drinks receptions, dinners and other events. This role sits within the Fundraising team, but will also work with the Marketing and Communications team to deliver audience and stakeholder events.

Key Responsibilities

  • Design, plan, and deliver a variety of donor, stakeholder and audience events to the highest standard. Events include pre-concert receptions, open rehearsal visits, VIP dinners, and other fundraising events. Most of these events will take place at Liverpool Philharmonic Hall. The role will include managing large-scale events such as our Annual Patron’s Thank You Dinner, and Royal Liverpool Philharmonic Orchestra season launch.
  • Coordinate all aspects of event logistics, from the initial invitation, to catering requirements, entertainment, audiovisual requirements, RSVP management, and onsite coordination of all staff. This will involve collaborating with colleagues across the organization.
  • Develop new events to help raise funds, steward existing donors, cultivate new supporters, and build lasting relationships with key stakeholders.
  • Coordinate follow-up activities, including thank-you communications and acknowledgments.
  • Work closely with external providers, caterers, venues, suppliers, sponsors and partners to maximise the success of events and enhance the attender’s experience.
  • Maintain accurate donor and stakeholder records in our CMS system, Spektrix, to generate reports and guest lists.
  • Ensure events adhere to budget, tracking expenditure/income and reconciling for each event.

This work involves some evenings and weekend work, depending on the event schedule. Your hours will vary each week. You’ll average 28 hours per week over each 17-week period.

Blaze is an arts organisation in Burnley that supports young people across Lancashire to develop their confidence, creativity and transferable skills through youth led creative projects.

Project Coordinator – Amani Creatives C.I.C, closes 26 Mar ’24

Amani Creatives CIC will be delivering an exciting project over 18 months to explore and gather naming traditions and heritage from the Congolese and African diaspora community in and around Manchester.

The National Lottery Heritage Fund has awarded a

£77,457 grant for the project, thanks to money raised by National Lottery players.

The ambition of the project is to uncover and record naming stories from the African diaspora community, create portraits that explain this heritage as an exhibition, presented physically and digitally, to share the heritage further afield as well as archive the information for future generations to access.

The project aims to engage people around Manchester from the African diaspora, connect with our international partner DRC Museum to support in translations and explaining the heritage, and add to the Manchester Archives and RACE Archives to extend their representation of ethnically diverse heritage that makes up the population around Manchester.

The project will be spread over 18 months, to:

– Recruit volunteers to interview people in the community and collect their sayings and narratives

– Train volunteers in oral history recording, supported by Ahmed Iqbal Centre’s oral history experts

– Create documentation of the project including photographs, portraits, videos and audio recordings

– Share the heritage through a mixed digital and physical photo exhibition at Manchester City Library, a printed and animated booklet, with a celebratory launch event

– Archive the documentation with Ahmed Iqbal Ullah RACE Centre archives at Manchester City Library

– Involve local African diaspora groups around Manchester

– Involve the community of African artists in our region already connected to Amani Creatives

– Involve individual African residents in our region already connected to Amani Creatives

Finance Officer – Liverpool Biennial, closes 1 Apr ’24

The Finance Officer is responsible for maintaining and monitoring efficient financial systems and controls and legally compliant financial records and reports.

MAIN DUTIES 

Accounting Duties 

  • To ensure that all work meets recognised accounting standards and to keep up to date with best accounting practice. 
  • To process and make weekly payment run and other banking transactions. 
  • To produce full monthly and annual accounting reports including Trial Balance, Profit and Loss Account, Balance Sheet, Creditors and Debtors Analysis, Cash Flow forecasts and Nominal Activity and Balances. 
  • To assist the Head of Finance with the production of a full set of monthly Management Accounts. Liaising with Budget Holders to update the forecast of each budget spending and cash flow. 
  • To liaise with the Company’s Accountants and Auditors ensuring the satisfactory provision of all accounting information and support to enable a satisfactory Audit and Financial statement of accounts Report. 
  • To conduct regular meetings with budget holders to ensure they supply and are supplied with up-to-date expenditure, income and forecast figures. 
  • To work with the Development department to support income development and financial reporting to stakeholders. 
  • To provide project analysis and costing exercises as and when required 
  • To upkeep a restricted funds analysis whilst liaising with the development team. 
  • To prepare and update fixed asset and depreciation records, asset sales and disposals together with inventory checks at year-end. 
  • To process and submit quarterly VAT returns. Provide and monitor quarterly Income and Expenditure reports regarding VAT to comply with HM Customs regulation. 
  • Responsible for the monthly reconciliation of all balance sheet items including Bank accounts, Credit cards, VAT Liability, Pension, Accruals, and prepayments etc.  
  • To have responsibility for Petty Cash to ensure that all entries, records, and all receipted transactions comply with Inland Revenue dispensation.  
  • To record financial information and make payments related to the Stakeholder Pension Scheme and membership.  
  • Responsible for the management, reconciliation and collection of cash floats and banking of cheques 

Payments and Receipts 

  • To maintain all monthly journals, cash book payments and receipts, and monthly bank reconciliations 
  • To maintain and control all Purchase invoices and records ensuring appropriate Purchase Orders have been raised and authorised by Budget Holders and accurate cost allocations assigned as outlined in the procurement policy within the financial handbook. 
  • To maintain and post records of all Company Credit card transactions, ensuring appropriate receipts and nominal codes accompany statements. 
  • To ensure the timely payment of creditor invoices with appropriate Budget Holders approval and within agreed settlement terms. 
  • To arrange all foreign payments to artists, galleries etc ensuring relevant budget holder approvals 
  • To issue debtor invoices as and when required from the Development team and pursuing late settlements and credit control 

Internal and External Lines of Communication 

  • The Finance Officer meets weekly with the Head of Finance, and regularly with each of the budget holders. 
  • The Finance Officer is the central point of contact for banking, payments to suppliers and accountants. 
  • Weekly work planning and review meeting with line manager.  

Miscellaneous 

  • Attend the weekly team meeting 
  • Attend training and professional development opportunities as required. 
  • Work within the context of Liverpool Biennial’s Equity, Diversity and Inclusion policy, Code of Conduct, Sustainability policy and other policies in delivery of internal and external service and treatment of colleagues, partners and participants.

Commitment

As Chair/Co-Chair for Heart of Glass you will support the other trustees and the senior leadership team to shape our vision and mission, track our progress on achieving our strategic goals and ensure that we are compliant with all legal and regulatory requirements. You will also be our sounding board and critical friend, bringing your skills and experience into conversations to help us shape our organisation for the better.

Key responsibilities:

Board of Trustees leadership

• Lead the Board, set its agenda, ensure legal and financial governance duties are met effectively and keep in touch with the organisation and its activities.
• Convene and lead board meetings and attend working groups.
• Ensure the effectiveness of individual trustees and the Board as a whole in all areas and responsibilities.
• Champion our Equity, Equality, Diversity and Inclusion and Environmental Responsibility commitments and actions.

Stakeholder management

• Build and maintain positive relationships across the Board, Executive team and with key external stakeholders, including existing and potential funders.
• Represent the organisation at outside events, be an ambassador, advocate and spokesperson for the Board, and represent the organisation, together with the Executive Team.
• Support the Executive Team in fundraising and encourage Trustees to do so.

Organisational governance

• Support the Charity’s vision and strategy and monitor its implementation, together with the senior executive team and the rest of the Board.
• Line manage the CEO and work closely with them, and the Executive Director.
• Ensure timely and effective succession planning of Board members, Executive Team and other key roles.
